Quick answer

What you need to know

Compare contracts, monthly payslips, bank credits, benefits, and official tax records before year-end documents or filing deadlines make corrections harder.

  • Reconcile each month's gross pay, deductions, net bank credit, bonus, allowance, reimbursement, and unpaid or corrected item.
  • Confirm that employer, identity, passport, residence, phone, bank, and tax information are consistent across systems.
  • Separate taxable compensation from documented business reimbursement and ask payroll to explain classifications in writing.
  • Use official tax channels and qualified HR, payroll, or tax advice for filing, treaty, residence, equity, or multi-employer questions.

An annual payroll review turns twelve separate pay cycles into one evidence trail. It can reveal a missing bank credit, duplicated adjustment, unexplained deduction, identity mismatch, or difference between employer records and the official tax system.

This guide is general record-keeping information, not tax or legal advice. Ask your employer and a qualified adviser about your facts and current rules.

Year-end payroll and tax record reconciliation in China

Build a month-by-month ledger

Collect the employment contract and amendments, salary notices, payslips, attendance or leave adjustments, bonus notices, benefit statements, expense claims, bank credits, and correction emails. Create one row per pay date with gross salary, variable pay, allowances, deductions, tax withheld, other deductions, net pay, and actual bank credit.

Mark retroactive items separately. Do not silently force the numbers to balance by treating an unexplained transfer as salary or reimbursement. The payslip guide explains common fields.

Match identity and employer records

Check the spelling and order of your name, passport number, employing entity, tax identifier where applicable, phone, bank account, job location, and residence information. If a passport, name, bank account, employer, or city changed during the year, keep the effective date and confirmation that each system was updated.

Ask payroll to explain any difference between the contracting employer, salary payer, social-insurance reporting entity, and tax-withholding entity. A difference may have an explanation, but it should not be guessed.

Separate compensation and reimbursement

List salary, bonus, commission, equity-related payment, housing or other allowance, employer-paid benefit, severance, and reimbursement by type. Match business reimbursements to policy approval, invoice or fapiao, expense report, and payment. The label in a bank transfer is not by itself a tax conclusion.

Use the work expense guide for supporting records. For benefits or allowances, ask payroll how the item was treated and which evidence supports that treatment.

Compare official tax information

Use only the official individual income tax channel or competent tax authority designated for your situation. Compare income, withholding, employer, and period with the payroll ledger. Do not give an unofficial helper your login, verification code, facial-recognition access, or remote control of your phone.

China’s State Taxation Administration publishes official tax information. Filing duties, annual reconciliation, deductions, treaty positions, residence, overseas income, and special compensation can be fact-specific; confirm them with the tax authority or a qualified adviser.

Raise differences clearly

Send payroll a compact table showing month, expected amount, recorded amount, evidence, and question. Ask for the correction owner, target date, revised payslip, payment date, and confirmation of any tax-record update. Keep the discussion factual and preserve original files.

If a wage payment itself is delayed, follow the delayed salary guide. For a serious unresolved employment dispute, seek advice from the competent authority or qualified counsel before deadlines expire.

Year-end records checklist

  • Contract, amendments, salary and bonus notices collected.
  • Twelve months of payslips and bank credits reconciled.
  • Benefits, allowances, reimbursements, and corrections separated.
  • Name, passport, employer, bank, city, and tax details matched.
  • Official income and withholding records compared.
  • Changes during the year documented with effective dates.
  • Differences sent to payroll with evidence and a target date.
  • Final records stored securely for filing, immigration, banking, and future employment needs.

Keep sensitive payroll and tax files encrypted or otherwise securely stored. Share only what the recipient needs and verify the destination before sending identity or income documents.

Frequently asked questions

Common questions

Is my December payslip enough for an annual payroll check?

Usually not. Compare all monthly payslips, bank credits, contract changes, bonuses, benefits, reimbursements, leave adjustments, and official tax records.

What if the employer name in my tax record looks different?

Ask payroll to identify the employing and reporting entities and explain the difference. Keep corporate-name and transfer records, and obtain qualified advice if the mismatch affects filing or immigration evidence.

Are reimbursements always tax-free?

No general assumption is safe. Treatment depends on the payment, evidence, policy, and applicable rules. Ask payroll or a qualified tax adviser how each item was classified.

Where can I check official individual income tax information?

Use channels designated by China's tax authorities, such as the official individual income tax system or the competent tax office. Ask HR which record should match your payroll.
