Check before offering or accepting

Find the current gifts, entertainment, travel, conflicts, procurement, and public-sector interaction policies. Check monetary thresholds, prohibited items, preapproval, disclosure deadlines, registers, expense codes, and country-specific addenda. Confirm which entity employs you and which group policy applies.

Ask: Who gives and receives the benefit? What is the legitimate business purpose? Is a tender, license, inspection, contract, payment, hiring decision, or dispute pending? Is anyone a public official, employee of a state-linked organization, healthcare professional, school official, or close relative of a decision-maker? When uncertain, pause and ask compliance.

Look beyond wrapped gifts

Anything of value may include meals, tickets, travel, accommodation, discounts, loans, gift cards, red packets, jobs or internships, donations, sponsorships, services, and favors. A low individual price can still be problematic when repeated or distributed broadly.

Make hospitality proportionate and documented

For a meal or event, record organizer, attendees and organizations, date, venue, purpose, amount, allocation, approval, and related business activity. Avoid venues or activities inconsistent with professional policy. Confirm whether spouses, family members, travel upgrades, leisure extensions, or overnight stays are allowed.

For gifts, retain description, quantity, fair value, source, recipient, date, reason, and handling decision. If branding, food, alcohol, allergens, shipping, or customs create extra issues, ask before dispatch.

Handle surprises transparently

If a gift arrives unexpectedly, do not quietly keep, discard, or redistribute it. Photograph and secure it, note the sender and context, and report it through the required channel. Compliance may direct return, registration, communal sharing, charity transfer, or another documented outcome.

If declining could cause embarrassment, use a neutral explanation: company policy requires approval or does not permit personal acceptance. Do not imply that a later date or private address would solve the issue.
